2025 FALL RETREAT LEADERSHIP RESOURCES
I’m so excited that we get to head into this upcoming event together! For many of you, this will be your very first time, and for others, it’s a chance to come back and experience it in a fresh way. No matter where you’re coming from, I want you to feel prepared, confident, and welcomed into this experience.
This email covers everything you need to know—food, travel logistics, what to wear, schedules, and sleeping arrangements (just to name a few)—so you can arrive ready and relaxed. Please take a few minutes to read through carefully and keep this handy as we get closer.
Disclaimer- this is a lot of information even for me, the event planner. Take it all in bite size. I want to ensure I effectively communicate as much as possible. You aren’t asked to memorize it all. We will go over it all daily. The master schedule is your lifeline for the week. Pretty much all the remaining info here- you can refer back to when you have a question (such as, “How am I getting to the airport?”) I’ve done my best to cross check and ensure it is correct but if you find an error or have a question- please let me know.
–Master leadership schedule will be coming closer to retreat. We are still finalizing and fine-tuning. (Includes: sessions for RF, LW, Revive, Photo shoots, Videography, housekeeping at leader houses (Goldmine & AGL), and shared camp housekeeping.
-The leadership script is attached to this email. The script provides a detailed breakdown of what is happening day by day. This is most important for SGL, but it will be helpful for all of us to scan. *Don’t worry, we will have daily meetings reminding everyone what is happening that day.
Reminder: we have a mandatory all leadership call on Oct. 20th, you MUST attend one of the two calls.

Our pastoral team consists of Wes Scheu, Jennifer Allen, Heather Johnson & Kara Osborne. If you have a deep mental health or emotional need to process with someone, please coordinate with them. You may also come to Kristen or Heather.
Our store manager is Aaron Brewer.
Our leader of all small group leaders is Heather Johnson
Our manager overseeing all of the work crew (kitchen staff) is Stephanie Milstead– but see Kristen or Heather if you need something, please. DO NOT go to them on your own.
Our Revive Tribe, overseeing all of our Revivers, consists of staff members who do not have a small group. If you need something, please come to Kristen first.

-What to wear: We recommend athletic gear everyday. If you feel spicy and want to change into jeans at some point, do you! But there is not a lot of downtime, so athletic gear is sufficient. We recommend a comfortable pair of slip-ons if you need a break from tennis shoes. (*Pro tip- most of us average 16k+ steps a day + some scooter trips! We are wellness professionals, we got this!)
Lost Canyon sits at about 7000 feet in elevation. Brisk mornings and evenings- I recommend layers and a jacket.
Tuesday evening is blackout – you will be outside for a little while…. Fran
…being from Hawaii… may be seen in a parka and 3 blankets, me
…being from Michigan may be in long sleeves….. HA, but it will be a little
chilly!

-For photo and video shoots– please see those schedules for details on what to wear (You will receive those details closer to retreat.)
-Packing list: Bible, journal, exercise mat or large beach towel, resistance tube with handles, water bottle, your athletic gear, and clothing. Coat and hat if you wish. Slip on/comfy shoes for evenings. Any materials you need for workshops you are leading, if applicable. Prescription or OTC meds.
-What will you eat: Lost Canyon food is actually quite good for camp buffet food! Get yourself ready for shrimp on Sunday! Every meal is GF & DF… but it does not taste like cardboard GF…. I promise, it is decent! And there is a dessert every night (brace yourself 😉 or enjoy yourself- however you see fit!)
Each house will also have snacks. We are not doing a “Kombucha” vending machine this year, sorry folks. There are just too many of us.
We multitask all week long at retreat. Therefore, breakfast meals are eaten in the war room unless otherwise noted on the schedule. At this time, we go over logistics for the day. Lunch is in the dining room. Dinner is back in the war room for leadership development with Renee.
-Pro tip: just always refer to your schedule as to where you are to be. Keep a copy on your phone, or print a hard copy to carry with you.
**PLEASE note: if you are assigned to work the store during a meal, it is up to YOU to get your plate of food and take it over to the store and eat in between customers, or just plan on getting to the dining room a little earlier to eat before your shift.
-Where will you sleep: If you are arriving before Sunday, 10/26, your hotel in Phoenix on 10/25 is the Hampton Inn Biltmore, 2310 E Highland Ave, Phoenix, AZ 85016. Your room arrangements can be found here.
If you fly home on Friday, the 31st, your room arrangements can be found here.
While at camp, we will be split into 3 places as we don’t all fit under one roof. Those arrangements are listed here.
Please note there is no housekeeping service. Let us come in and treat the leadership homes with the utmost respect. Clean up after yourself, please.
Just a FYI- All Revive students are in buildings A, B, C. All other students are in D, E, F. Workcrew and men in leadership are in Hillside.
Transfers:
From PHX airport to hotel or headquarters are listed hereFrom Phoenix to camp listed here. We have two groups- an airport crew that helps with student check-in, and a crew that goes up to camp and sets everything up and welcomes in the students.
From the camp back to Phoenix is listed here. Many of us are on the student bus to make our return flights on time. Many of you are on HQ duty to help unload.

For the few people staying on 10/30, please use the hotel shuttle to take you back to the airport for your flight home.
Saturday:
ALL HANDS ON DECK! We have a lot to prep for the week. Please see that schedule here. I’ll be around all day to give instructions and answer questions. Fran is my wing woman here; she has a great handle on all elements as well.
We will have a team dinner for everyone who is in town that evening at Alisa’s at 5:30. We will carpool and Uber to and from her house.
Sunday:
All leadership will wear our leadership shirt and your white branded lanyard. (Those arriving on Sunday will receive it when you arrive.)We have several tracks running this year at camp. Here are some need-to-know pieces:
RevFit P35 students will have orange lanyards
LiveWell B4 students will have teal/blue lanyards
Revive students will have black lanyards
**If the Revive student is dual cert, they will have a star sticker
**Any donor at camp will have a heart sticker on their name tag.
IMPORTANT: If you see anyone with a heart sticker, please THANK THEM for being on mission with us. Thank them for partnering with us as a donor.
Please refer to the unloading schedule if you are part of the camp crew. If you are on the airport crew, Fran will provide you with instructions.
Friendly reminder, you must fill out a waiver for camp- Please go to this link and electronically sign the waiver for Lost Canyon. Every person on camp (regardless of role) needs to sign this. Our dates at camp are 10/26-10/30. All areas with a red asterisk are required.
